What we collect, and what we do with it.
We write about what the Privacy Act asks of Australian businesses, so this page holds us to the same standard: plain language, the actual tools named, nothing hidden in the footnotes.

Who we are
CoterieLabs is the trading name of Coterie Capital Pty Ltd (ACN 640 392 650), an AI-implementation consultancy based in Sydney. This policy covers coterielabs.com.au and the emails we send from it. If you have a question about anything here, write to contact@coterielabs.com.au.
We handle personal information in line with the Australian Privacy Principles. We are a small business, and we apply those principles because we think they are the right way to treat the people who use our site — not only where the law compels it.
What we collect, and when
Just visiting
When you read a page, three measurement tools run in your browser. None of them is told your name, and none of them runs on the private pages that hold your results or booking links.
- Mixpanel records which pages you view and what you click, along with your browser type, device and an approximate location derived from your IP address. For roughly one visit in ten, Mixpanel also records a session replay — a reconstruction of how the page was used, including scrolling and cursor movement — so we can see where the site is confusing. Text you type is masked in these recordings by default.
- Google Analytics records page views and the same kind of interaction and device data, and tells us which search terms and channels bring people here.
- Google Ads sets a cookie so that if you arrived from one of our ads and later book a call, we can tell the ad worked. Google may also use your visit to show you our ads elsewhere on the web (remarketing). You can switch that off at adssettings.google.com.
If you reached us from an ad, your browser also keeps the click identifier and campaign tags in local storage for 90 days, so that a booking made later can be matched to that click. That is the only thing we store in your browser ourselves.
Using the free tools
The AI Exposure Check works without giving us anything — your answers and score are calculated in your browser. If you choose to leave an email address at the end, we use it to send you Field Notes and treat it as a newsletter subscription (below).
The AI Scan asks for your name, email address and business name, then for your industry, revenue band, team size and a handful of questions about how your business runs. We store all of it, along with the scores it produces, so that we can email your results to you and so that the private results link keeps working. We also send a copy to ourselves, because the whole point is that we read it before a call.
Booking a call
A booking stores your name, email address, company and the time you chose. If you came from an ad, the click identifier is stored against the booking too. We email you a calendar invite with a cancellation link; cancelling deletes the booking record outright. Our booking endpoint can also be used by an AI assistant acting on your instructions — if one books for you, you still get the same confirmation and cancellation link, so nothing can be booked in your name without you knowing.

The contact form stores your name, email address and message so we can reply.
The Field Notes newsletter
We store your email address and where you subscribed from. Each email carries an unsubscribe link, and we record whether each one was delivered. We do not sell, rent or share the list.
Why we collect it
To run the site and deliver what you asked for — results, bookings, replies, newsletters. To understand what people actually read and use, so the site gets better. And to measure whether our advertising works, so we spend less on it. We do not use your information to train AI models, and we do not sell it.
Who else sees it
Nobody buys or receives your information from us. The services below process it on our behalf, each under its own privacy policy:
- Render hosts the site and its database, in Singapore.
- Mixpanel and Google (Analytics and Ads) provide the measurement above, in the United States.
- Resend delivers our email, in the United States.
- Transistor hosts the podcast audio; playing an episode loads it from their servers.
- Calendly, where a results page offers it as a way to schedule, handles that scheduling under its own terms.
Because several of these sit outside Australia, some of your information is stored or processed overseas. We choose providers with their own published privacy and security commitments, and we only send them what the job needs.
We would disclose information without your consent only where the law requires it.
How long we keep it
Bookings are deleted the moment you cancel. Scan submissions are kept so your results link keeps working and so we have context if you come back — we delete them on request. Contact messages and newsletter subscriptions are kept until you ask us to remove them or you unsubscribe. Analytics data is kept by each provider under its own retention settings; we do not extend those.
Your choices
- Browser tracking blockers and private browsing stop all three measurement tools; the site works without them.
- Ad personalisation can be turned off in your Google account at adssettings.google.com.
- Every newsletter email has an unsubscribe link. Every booking confirmation has a cancellation link.
- Email us to see what we hold about you, to correct it, or to have it deleted. We answer within a few days and we do not charge for it.
If something is wrong
Tell us first at contact@coterielabs.com.au and we will look into it and reply. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
When we add a tool or change what we collect, we update this page in the same change and move the date at the top. The date is the honest signal: if it is older than the thing you are wondering about, ask us.
